The Administrative Assistant is responsible for the effective management of the team’s calendar schedules, correspondence, commitments, travel plans and expenses. The successful candidate will take initiative, exercise independent thinking, maintain confidential information and meet aggressive deadlines in a fast paced and constantly changing environment. This position requires impeccable organizational skills, superior attention to detail and the ability to think and act quickly and decisively. The Administrative Assistant will be located in our North American headquarters in Burlington, MA, and will report to the Chief of Staff.

Position Duties

  • Manage calendars, including scheduling and meeting coordination

  • Conserve executive time by reading, researching and routing correspondence, drafting letters and documents; collecting and analyzing information

  • Assist in preparation for board and staff meetings, attend meetings, take notes and ensure appropriate follow-up on specific action items

  • Coordinate and prepare presentations and materials for customer, partner and board meetings and conference calls

  • Coordinate extensive domestic and international travel and prepare expense reports

  • Liaise with multiple levels of staff and management

  • Work closely with support staff across company

  • Lead and collaborate on special projects as needed

Required Skills/Experiences

  • Bachelor’s Degree in Business Administration or similar field required

  • 2+ years of successfully providing administrative support or coordination in a lean, high-performing, entrepreneurial organization

  • Demonstrated expertise using MS Office including Word, Excel and PowerPoint

  • Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization

  • Energetic team player with ability to work independently with confidence

  • Strong business acumen with ability to manage multiple projects and responsibilities with keen attention to detail in a deadline driven environment

  • Flexible and resourceful working style with the ability to navigate shifting priorities

  • Ability to work with ambiguity, work well under pressure and anticipate next steps
